Who is the Data Controller

This privacy statement applies when Sammen – the Student Welfare Organization for the Western Norway processes personal information about you.
This privacy statement explains how we collect and process personal information from you. Personal information includes information and assessments that can be linked to an identifiable individual. This may include names, addresses, phone numbers, email addresses, IP addresses, and membership history.
All processing of personal information, such as collection, registration, storage, and disclosure, is subject to specific rules, including those in the Personal Data Act. Sammen is responsible for ensuring that the processing complies with Norwegian law. The Data Inspectorate supervises compliance with the law.

Purpose of the Information

The purpose of the information we collect is to provide students and other customers with the best possible services. By collecting data about you, we keep track of your memberships, rental agreements, and agreements with us.

Rights of the Data Subjects

Sammen is committed to following current privacy regulations per Norwegian laws. These give you the right to:
  1. Withdraw your consent
  2. Have personal information deleted
  3. Have incorrect personal information deleted
  4. Access stored personal information
  5. Obtain your personal information and store it on a private device for further personal use
  6. Move, copy, or transfer your personal information from one business to another
  7. Complain to the Data Inspectorate if you believe Sammen is not handling your personal information legally

Types of Processed Personal Information

To provide you with the best possible services, we collect various types of information, including personal information about you. This may include:
  1. National identification number, name, phone number, email address, postal address, student number, and gender when you register as a customer or user of our services.
  2. Submitted forms with inquiries and cases.
  3. Username and password for access to our services.
  4. Payment and invoice information, as well as information about customer account(s).
  5. When using our health services, patient data may be stored, but only in our closed record systems. Data is processed according to health legislation.
Website: On our website, we use cookies to recognize you, among other things, so that when you have visited our site once, we remember you. Cookies are small text files placed on your computer when you download a website, such as sammen.no. When you use our services, cookies and other data are stored that can later be read by us. On the sammen.no website, we log completely anonymous information about all visitors using Google Analytics. Google Analytics helps us better understand how our users use the site, for statistics, to study traffic, usage patterns, and trends on the site, and so that we can optimize the pages for you as a user.
Newsletters: It is possible to subscribe to newsletters from Sammen. To send an email to the right person, we must register the email address. This information is not shared with other businesses and is deleted when we are informed that you no longer wish to receive information from us.

Sources of Information

If you have a customer relationship with Sammen beyond paying the semester fee, we summarize the personal data we collect, process, and store from the agreements/contracts you have entered into.
Users of Sammen's websites: When creating a user account on our websites, you must also consent to Sammen processing and storing your personal data.
Users of the contact form on our websites: When submitting a request to our support team through the website form, you must also consent to Sammen processing and storing your personal data. Submitted forms may be stored for up to five years.
For tenants in student housing: By signing the lease agreement, you give Sammen the right to process and store personal data.
For members of Trene Sammen: By signing the training agreement, you give Sammen the right to process and store personal data.
Users of Sammen's health services and health funds: Services falling under health legislation (patient record law) are processed according to this legislation and kept separate from Sammen's other data.
Users of counseling services and courses: give consent for Sammen to collect personal data through an agreement/course registration.
Users of Sammen's kindergartens: Admission is done through the municipality's kindergarten systems and follows the municipality's guidelines.
Users of Sammen Mat&Drikke:
  1. Customers ordering online: When registering on one of our cider sites for online food and drink ordering, it gives Sammen the right to process and store your personal data. Information retrieved can be used to provide you with relevant offers.
  2. Corporate customers: When a company signs an agreement to purchase services for its employees, it gives Sammen the right to process and store personal data for employees associated with the agreement.
  3. Loyalty program: When choosing to register as a benefits customer at our dining establishments, it gives Sammen the right to process and store your personal data.
Surveys: Sammen will occasionally send out surveys to customers who have registered their email addresses with us to get feedback on our services.

Is It Voluntary to Provide Information

Where you have a customer relationship with Sammen beyond paying the semester fee, we require you to provide personal information. This applies to customer relationships such as renting student housing and applying for support from the health fund. Where you must provide personal information to us, we will inform you specifically when you enter into a customer relationship or apply for financial support.

Disclosure to Third Parties

Sammen uses subcontractors to deliver, develop, and improve our services. These subcontractors are not authorized to use personal information for other purposes. The subcontractors then become data processors, and Sammen remains the data controller. Sammen enters into data processing agreements with all data processors who receive, process, and store personal information on behalf of Sammen. Information is not shared with others unless you have given your consent.

How Is Information Deleted and Archived

Data is stored in Norway, within the EU/EEA, or in the USA. We keep your personal information as long as necessary to achieve the purpose of processing. Then all information is deleted accept what the Accounting Act and any special legislation (e.g. the Patient Records Act) require to be stored.

Rights of the Registered

You can influence which personal information we should have about you and how we should use it. You can contact us if you want to see what personal information we have stored. You can also request deletion or disclosure of data.

How Is Information Secured

We have a range of security measures, both physical, technical, and administrative, used to secure our infrastructure and impose requirements on our personnel. Sammen has an IT operations model where some systems are operated independently, but we have also entrusted the operation of some systems to external parties. We use external consultants for parts of the work, also on some systems operated internally. When external parties process personal information on our behalf, we require security mechanisms to be established.
